How to test rental software before leaving Excel
Take a fictional booking through a late return and an export. Find out which work the software actually removes before migrating.

Your spreadsheet often holds routines that never appear in a feature list: a cleaning day between rentals, an accessory supplied with every machine or a deposit tracked manually. The software you choose needs to handle that work.
This is a trial method proposed by Louez, not a certification. Use the same small set of fictional data in each tool and record the results before comparing prices.
Write the pass criteria before the demonstration
Choose a familiar category and invent three units, two customers and two nearby bookings. Add a required accessory and preparation time between rentals. State the expected result: a unit already committed must not appear as available for overlapping dates.
Separate blockers from conveniences. Incorrect quantities are a blocker; calendar colours usually are not. Keep an observable result, screenshot or note for each criterion. A feature promised during a sales call has not yet passed your trial.
Try to create a conflict on purpose
Confirm the first booking, then attempt another for the same period. Try an extension that overlaps the next pickup. Check quantities, individual units and accessories using the actual hours your business works with.
Next, cancel a booking and create one through a colleague’s account. Does availability change at the right time? Does a page need refreshing? Record who can override a decision and how the rest of the team sees it. These details matter more than an attractive but ambiguous calendar.
Continue through return and repair
Prepare the fictional contract, record checkout, then simulate a return with a missing accessory. Use a test photograph with no identifiable people. Check that the original condition remains easy to find and that the history explains what changed.
Take the unit out of service for repair and attempt another booking. Available stock should reflect that decision. For payment testing, use only the provider’s test mode. If none is offered, request a demonstration of this step without triggering a real charge.

Check access and retrieve your data
Before giving a provider customer information, examine its contract and security measures. France’s CNIL recommends defining responsibilities, authentication, incident handling and the return or deletion of data when a contract ends.
Try a staff account and request an export of the fictional records. Open the file: are identifiers, dates and amounts understandable? Are documents and photographs separate? List missing elements and ask how to recover them before becoming dependent on the service.
Choose a manageable switch
Compare remaining manual work, training effort and costs at your expected volume. A feature unavailable in the plan you tried remains unconfirmed. If the result does not solve your current problem, keeping and improving the spreadsheet may be the right decision.
If you choose a tool, start with one category and reconcile existing bookings before switching. Name one system of record from a specific date and keep the old spreadsheet read-only. Test whichever entry or import process is actually offered; this guide does not promise automatic Excel import into Louez.
